Access Profiles and Module Profile Permissions

The Stova platform provides account administrators with two ways of allowing secure access to the system: Access Profiles and Module Profile Permissions.

Access Profiles

Access Profiles determine what users can see in Stova.

Access Profiles determine which folders user can view when logged into the Stova system. Users can  save their work (registration sites, emails, surveys, etc.) in these folders.

ASU users are provided access to a folder that corresponds with the department or unit as listed in the ASU Directory or Peoplesoft. We refer to this as your "Team folder."

Users who are in the same department/unit are provided access to the same Team folder.

Collaborating between departments/units

For cases where an Stova user from one Team needs to collaborate on an Stova event registration which was created and is managed by users in a different Team, our procedure is to:

  • Create a special "Shared Events" folder in the host unit's folder. (The host is whoever creates/owns the event.)
  • Move the event registration into the new "Shared Events" folder.
  • Create a special Access Profile which allows the user from the outside Team to see any events in the host unit's "Shared Events" folder.

This allows the host unit to maintain the security of events they do not want to share outside the Team.

Module Profile Permissions

Module Profile Permissions determine what users can do in Stova.

Five basic levels of permissions are available. From highest to lowest, they are:

  • Level 1 - Modify All Events
  • Level 2 - Create own Events, Clone/Read others
  • Level 3 - Read Only - View events and reports
  • Level 4 - View reports only (Registration)
  • Level 5 - View admin check in reports only

Permissions Level Details

Level 1 - Modify All Events

Users can create and clone event registrations, edit event registrations created by themselves and others, and access all settings in registrations, reports and functions.

This is the most commonly used permissions level.

Level 2 - Create own Events, Clone/Read others

Users can create and clone events, edit event registration they created, access all settings in registration, reports and functions for events registrations they created, but have "read-only" rights to events created by other users.

Level 3 - Read Only - View events and report*

Users have "read-only" rights to all events.

Level 4 - View reports only (Registration)*

User can access reports in the Registration module only, but not modify anything.

Level 5 - View admin check in reports only*

User can access reports in any module, but not modify anything.

* - Coordinators should consider the Custom Reporting and Report Users feature for sharing event reports (under Reports & Functions). These features allow coordinators to share reports with people who do not have (nor need) an Stova user account.


Requesting Permissions Level

ASU users request the permissions level when submitting their request for an Stova user account.

If a user, or the supervisor of a user, would like the permission level changed, they can submit a request via email.
