Event Emails

Emails sent to event attendees after they have registered can be found in the Event Info>Event Emails tab.

There are three types of emails available:

  • Emails to event registrants - also called Triggered emails
  • Scheduled email blast - for emails to be sent manually or scheduled to send to a selection of registrants
  • Emails to event administrators

Note: If you want to use Stova to send email invitations to a mailing list of guests, use the Marketing module.

Emails to event registrants

Emails can be sent automatically by the actions of the registrant - such as a confirmation email sent after a registration has been successfully submitted.

The ASU Basic Event Template provides the following emails:

Email typeDescription
ConfirmationEmail sent after a registration is successfully submitted.
IncompleteIf the registrant begins a registration, but fails to complete and submit the form within 30 minutes, the Incomplete Registration email is sent. The email includes a link to continue the registration from where the registrant left off.
Updated registrationIf you are allowing attendees to modify their initial registrations (see Registrant Rules), this email will be sent after the attendee has updated their registration.
CancellationIf you are allowing your attendees to cancel their registration (see Registrant Rules), this email will confirm the cancellation
Waitlist confirmationIf you are using the Waitlist feature, this email will confirm the registrant has added their name to the Waitlist for the event.
A spot has opened (Waitlist)This email is provided for inviting a registrant on the waitlist to register for the event after a seat has become available. Will be sent automatically if using the Automatic Waitlisting Processing Mode; or can be sent manually.

Recommended updates

After cloning an event, we recommend updating the following fields in all emails.

Update Sender and Reply-To fields

ASU units should update the Email and Name fields in the Email Details section of all event emails after cloning an event.

From (email)Email address sending the email. Must be an @a.asu.edu address (see email security page).
From (name)Name to associate with the From (email) address.
Reply-to (email)Email address to receive email when the receiver clicks the "reply" button.
Reply-to (name)Name to associate with the Reply-to (email) address.

Note: We recommend using an email address that delivers email to/from a unit or program, such as an email that delivers to a Public Folder or Salesforce, rather than a person's own email address. 

Update the email footer

The footer of the emails provided in the ASU Template use special ASU Merge Fields to display unit information. Using the ASU Merge Fields allows updating all email footers at the same time.

To update the ASU Merge Fields, go the Overview page. The ASU Merge Fields are located at the bottom of the screen. Make your edits and click Save & Stay.
